The Bookkeeper's Nightmare: Locked PDF Bank Statements
Every month, the same painful ritual repeats across thousands of accounting offices:
- Download bank statement PDF
- Try to copy-paste into Excel
- Watch formatting break completely
- Spend 2 hours manually retyping transactions
Sound familiar?
Banks lock their statements in PDF format. QuickBooks and Xero need structured data. You're stuck in the middle, manually bridging the gap.
Until now.
Introducing: Bank Statement PDF to Excel Converter
We built the same AI-powered engine that fixes crypto CSV files—and pointed it at bank statements.
The result: Upload a PDF, download a QBO/Xero-ready Excel file. 30 seconds.
What It Does
Our converter handles everything that makes bank statement PDFs difficult:
- Scanned PDFs - OCR extraction using AWS Textract
- Multi-page statements - Automatic pagination handling
- Wrapped descriptions - Intelligent line merging
- Credit/Debit columns - Automatic sign normalization
- Date format chaos - Converts any format to MM/DD/YYYY
Supported Banks
Support means tested support. Every bank we list has a parser config, and the live list — with a verified or beta status for each — is what the product, docs and API all generate from.
Verified against real statements:
- Chase
- Mercury
- Navy Federal
Beta (configured, not yet verified against real statements):
- Bank of America
- Wells Fargo
- Citi
Don't see your bank? Upload anyway — the generic parser will attempt a best-effort extraction and you can review every row before exporting. If it comes out wrong, email us a redacted sample and we'll add a config.
How to Convert Bank Statement PDF to Excel
Step 1: Upload Your PDF
Drag and drop your bank statement. Works with:
- Digital PDFs (selectable text)
- Scanned documents (image-based)
- Multi-page statements
- Password-protected PDFs (enter password once)
Step 2: AI Extraction
Our engine:
- Detects the bank format automatically
- Identifies table boundaries and headers
- Extracts Date, Description, and Amount
- Handles multi-line transaction descriptions
- Normalizes credit/debit signs
Step 3: Review & Edit
Preview your extracted data in a spreadsheet view. Fix any OCR errors before downloading. Most statements need zero corrections.
Step 4: Download Excel File
Get your file formatted for:
QuickBooks Online:
- 3-column format: Date, Description, Amount
- Negative amounts for expenses
- Positive amounts for deposits
- MM/DD/YYYY date format
Xero:
- Required headers with asterisks (*Date, *Amount)
- Payee and Description fields
- Reference and Check Number columns
- ISO date format option
Generic Excel:
- Full data with Balance column
- Running balance verification
- Original bank reference numbers
Why Excel Format Matters
The QBO Import Problem
QuickBooks Online is notoriously picky about imports:
❌ Wrong date format = "Unable to import" ❌ Text in Amount column = "Invalid data" ❌ Missing headers = "Unrecognized format" ❌ Extra columns = "Too many fields"
Our converter outputs the exact format QBO expects. No more import errors.
The Xero Import Problem
Xero requires asterisks on required column headers:
*Date,*Amount,Payee,Description
01/15/2024,-1250.00,CHASE TRANSFER,Monthly rent
Miss that asterisk? Import fails silently with partial data.
We handle all these quirks automatically.
Common Bank Statement Challenges (And How We Solve Them)
Challenge 1: Wrapped Transaction Descriptions
The Problem:
01/15 AMAZON MKTPLACE PMTS
AMZN.COM/BILL WA
Card 1234
Three lines, one transaction. Most converters create three rows.
Our Solution: We detect continuation lines (no date prefix) and merge them:
01/15/2024,"AMAZON MKTPLACE PMTS AMZN.COM/BILL WA Card 1234",-45.99
Challenge 2: Separate Debit/Credit Columns
The Problem:
Date Description Debit Credit
01/15/2024 Transfer Out 1,000.00
01/16/2024 Deposit 2,500.00
Our Solution: Single Amount column with proper signs:
01/15/2024,"Transfer Out",-1000.00
01/16/2024,"Deposit",2500.00
Challenge 3: Inconsistent Date Formats
The Problem: Same statement, multiple formats:
- Opening Balance: January 1, 2024
- Transaction: 01/15
- Closing Balance: 1/31/24
Our Solution: All dates normalized to MM/DD/YYYY (or your preferred format).
Challenge 4: Page Headers Repeated
The Problem: Multi-page statements repeat headers:
Account: ****1234
Date Description Amount
...transactions...
Account: ****1234
Date Description Amount
...more transactions...
Our Solution: Headers extracted once. Page markers stripped. Clean continuous data.

Frequently Asked Questions
Does this work with scanned PDF statements?
Yes. We use AWS Textract for OCR extraction. Clean scans extract well; blurry or low-resolution scans may require manual corrections in the review step.
Can I convert multiple statements at once?
One statement per upload today. Each one takes a few seconds, so a year of statements is a few minutes of work.
What if my bank isn't supported?
Upload anyway — unrecognized layouts fall back to generic extraction, and the result is marked for review rather than guessed. If extraction fails, contact support with the bank name and we'll look at adding the format.
Do you store my bank data?
No. Files are deleted within 30 days (sooner if you delete them), we don't keep your transaction data beyond that, and we never train on it.
Can I customize the output format?
Yes. Choose from QBO, Xero, Excel, or CSV output.
What about credit card statements?
Fully supported. Same process—upload PDF, download Excel with transactions formatted for your accounting software.
